Grading Policy & System

A. ACADEMIC PROGRESS Academic progress is evaluated on the 4.0 scale from A to F as follows:

The grade of “P” (Pass) (awarded for credit by examination, for practical courses that are not examined by a written final exam, and for practicum work) is not used in computing a student’s grade point average (GPA or CPA), but the credits earned are included in the earned hours.

Incomplete work (grade “I”) must be made up in one month after the end of the semester or else the faculty member will record zero marks in that particular exam or area of work.

A “W” (withdrawal) is given for a course from which the student withdrew (WS) or was administratively withdrawn (WA).

NB:1. “W” and “F” will be shown on final reports but only “F” will appear on official transcripts. 2. A grade may be deferred/delayed (DE) when the lecturer concerned has certain doubt regarding the student’s work.

A faculty member at her/his own discretion may write a letter of commendation supplementary to the grade a student receives. At the end of each semester, each course director is asked to report to the Promotions Board the final statistics on the grades awarded that semester. At this time the grading policy for the course is reviewed.

A course’s grading policy may not be changed once the course starts. If, due to unforeseen events, a requirement must be dropped, all students will receive complete credit for that requirement.

Further elaboration of the grading system is used to indicate to the student his/her relative standing with respect to other fellow-students in the course. Interpretation of the full grade range is detailed below:

B. GRADES FOR REQUIRED COURSES

Grades of A and A-A grade of A or A- is awarded to a student whose performance is of very high caliber and, in addition, whose demonstrated qualities of intellectual curiosity, integrity and selfdiscipline have clearly set him/her apart from the majority of the group.

Grade of B+, B, B- A grade in the B range is awarded to a student whose performance is of a high calibre.

Grade of C+, C, C A grade in the C range is awarded to a student, with the exception of those defined above, whose performance in a subject meets the requirements established by the course director concerned.

Grade of D+, D, D-A grade in the D range is awarded to a student whose performance barely meets the requirements established by the course director.

Failure (F) A student whose performance in a subject is clearly below departmental passing standards shall be given a grade of Failure (F). Failure (F) is judged to require repetition of the entire course. Failure to meet a requirement (for example, not taking an exam, not submitting papers or patient write-ups, failure to attend required clinical duties) without prior notification to the course director or designee will be treated as grounds for awarding an F for that part of the requirement.

C. INCOMPLETE The designation of Incomplete (I) will be assigned when a student fails to complete all the required work in a course for reasons (such as illness) acceptable to the Dean and the course director. Incomplete is a non-grade designation. Assignment of an Incomplete requires the prior approval of the Dean on a case-by-case basis. All required work in the incomplete course must be completed one month (30 days) after the end of the semester. Failure to meet the designated deadline will result in a grade of Failure (F).

D. WITHDRAWAL FROM A COURSE A student may elect on his/her own to withdraw from a course by properly completing a Course Withdrawal form available from the Registrar’s office. The withdrawal must be made in person and during the designated times, which are as follows:

Semester I or II: Withdrawal permitted up to the last week prior to the last week of the semester. No withdrawals are permitted during the finals week.

Summer sessions: Withdrawal permitted up to the week prior to the last week of the session.

N.B. Informing the lecturer of intent to withdraw, or simply not attending class is not a proper withdrawal, and the student is considered to still be enrolled in the course.

A student may also be administratively withdrawn from a course because of excessive absences or other relevant reasons. In case of individual merit or extenuating circumstances, students who have been administratively withdrawn because of excessive absences may appeal for permission to be reinstated.

Withdrawal from a course, whether done by the student or the administration, does not reduce the tuition fees payable.

E. EXEMPTION FROM A COURSE

No exemptions from required courses are permitted.

F. TRANSCRIPT

The total record of a student’s academic progress showing all courses taken, all grades received, all transfer work accepted and, in general, all credits awarded, is available from the Registrar’s Office. A transcript of this record can be obtained by the student (unofficial copy) or sent to other colleges and universities (official copy) at a charge of $10 USD after 3 free transcripts. Grades of A through F will appear on Official transcripts. “W” will not show on official transcripts.

G. AUDITING OF COURSES

A student who seeks to audit a course must have permission from the course director and abide by all conditions specified by the Assistant Registrar, in consultation with the Dean/Provost. The student must make his/her plans to audit a course known to the Assistant Registrar by submitting an audit request in writing. Once the Assistant Registrar has granted approval, as a second step, the student must receive the course director’s signature of approval. Also, the audit requirements must be listed on a form signed by the student and the course director. Both forms are to be returned to the Registrar. Because auditing can play an integral role in student achievement and advancement, the Promotion Board is to be informed of all students auditing courses.

At times, especially prior to returning from a Leave of Absence, a student may be required to audit designated courses or portions of courses by the Promotion Board that governs the academic year to be re-entered. Otherwise, a student is not permitted to audit a course while on a Leave of Absence.

H. GRADE CHANGES AND APPEALS

All requests for changes in grades and/or comments must be carried out within ten working days following the commencement of the semester. The request for a grade change or review must be made in writing with an explanation of why the recorded grade is inaccurate, or unfair.
